Reports to: Director of Development, Nashville Repertory Theatre (in very close working partnership with the Donor Relations Manager)
Status: Full-time, Salaried, Exempt
Position Overview
The Development Coordinator provides essential administrative, database, and front-line support to the Development Department. This role is central to donor data integrity, donor and patron customer service, board engagement tracking, and the coordination of meetings, events, and sponsorship benefits. The ideal candidate is a detail-oriented self-starter with database management experience, a genuine interest in live theatre, and the flexibility to work evenings and weekends during productions and special events.
Key Responsibilities
Database Management & Prospect Research
Manage database entry and maintenance, including learning and becoming proficient in Tessitura, the Rep’s CRM system.
Become familiar with existing Tessitura features to support donor management, wealth screening, portfolio management, and contact reports.
Maintain data accuracy and integrity across donor and patron records.
Donor & Patron Relations
Serve as a front-line point of contact, providing responsive, high-quality customer service to donors and patrons.
Assist development officers with the coordination and support of donor meetings and cultivation events.
Process & Operations
Learn existing development processes and workflows, and bring a willingness to help create and refine new processes that enhance and scale the Rep’s $2 million fundraising operation.
Maintain the development department calendar and organize development-related meetings.
Board Engagement
Assist in the implementation of Board meetings and preparation of related materials.
Maintain a Board engagement dashboard to track and measure activity, including giving, special assignments, and attendance (in person and virtual).
Sponsorship
Assist in the tracking and management of sponsorship packages and associated benefits.
Events & Performances
Work night and weekend hours during shows to support the Development Department’s mission and donor stewardship activities.
Qualifications
Strong team player with a collaborative, can-do attitude
Exceptional attention to detail and accuracy
Self-starter who takes initiative and works well independently
Flexible and adaptable, with the ability to work evenings and weekends as needed during the performance season
Prior database management experience required; CRM experience (Tessitura or similar) strongly preferred
Creative problem-solver who brings fresh ideas to process improvement
Keen interest in live theatre and the performing arts
Excellent written and verbal communication skills
Work Environment
This position operates in a fast-paced, high-energy live theatre environment. Regular evening and weekend availability is required during productions, fundraising events, and board and donor functions throughout the season.
Compensation & Benefits
Nashville Repertory Theatre offers a salary of $47,000, commensurate with experience, along with a comprehensive benefits package including health, dental and vision insurance, life insurance, 403B retirement, and paid time off.
